About the app and add-ons

1. Who is PDF Pro Panel 3 for?

Students, individual users, professionals, businesses, organizations and government institutions can use the app for everyday documents and larger workflows. You can work with a single file, apply supported operations across multiple pages, or use optional add-ons for specialized batch work.

2. What is an add-on?

An add-on unlocks a specialized tool inside PDF Pro Panel 3. Add-ons extend the base app with workflows such as OCR, batch redaction, form filling, Bates numbering, field extraction and document sanitization.

3. Do I need to purchase every add-on?

No. Choose only the add-ons you need. Buying one does not require buying the others.

4. Can I continue using the base app without add-ons?

Yes. Add-ons are optional. Access to the base app's tools follows your base app licence or evaluation period.

5. Are add-ons separate applications I open outside PDF Pro Panel 3?

In this desktop release, you open them inside PDF Pro Panel 3. The tools are modular and have their own workflows; they are not separate standalone Store applications.

6. Where do I find them?

Open Settings → Extensions to view purchases and trials. Available tools also appear in the main screen's Add-ons group. The Module Manager shows whether a module is available, disabled or unable to load.

7. Which add-ons are available in this release?
Add-onMain purposeImportant boundary
OCR & Document CaptureRecognize scanned text; create searchable PDFs and editable document exportsRecognition and layout require review
Commercial RedactionReview and redact batches of PDFs and imagesCheck every intended redaction before sharing the exported copy
Forms AutomationFill AcroForm PDF templates from CSV recordsXFA and signature fields are unsupported
Legal Document ProductionApply Bates numbering and create separate files or combined production volumesReview numbering, order, duplicates and output
Data ExtractionExtract configured, labelled fields to CSVDoes not infer unlabelled tables or financial totals
Document SanitizationCreate fresh image-only PDFs without original hidden document objectsRemoves searchability, accessibility tags and digital signatures
8. Are these tools limited to large organizations?

No. The same tools can help with one document or a larger batch. Choose the workflow that suits your task and the tool's stated limits.

9. Can every tool process multiple files automatically?

No. Capabilities vary by tool. A tool that applies edits to several pages is different from an add-on that processes a batch of separate files. Use the controls and limits shown in the selected tool.

10. Does “modular” mean unlimited file sizes or pages?

No. Each tool has its own supported inputs, page limits and resource requirements. File size alone also does not predict how much memory a document will require.

Purchases, accounts and activation

11. Must I own the base app before trying or buying an add-on?

Yes. The current Store edition requires ownership of the full base app before starting an add-on trial or purchasing an add-on. An add-on does not activate the base app.

12. Does purchasing the base app include all paid add-ons?

No. The six paid add-ons are separate purchases. Check the product description and checkout to see exactly what an offer includes.

13. How do I purchase an add-on?

Open Settings → Extensions, choose the add-on and select Buy extension. Complete the Microsoft Store purchase window using the account associated with your Store purchase. Return to the app and open the unlocked tool.

14. Are Microsoft Store add-ons subscriptions?

The six configured Microsoft Store add-ons are one-time purchases. Their 3-day trials do not create subscriptions. Website offers, where available, may have different terms.

15. Where can I see the price and currency?

The Extensions window shows a Store price when it is available. Confirm the price, currency, taxes and item name in the Store purchase window before completing the purchase. Prices and availability can vary by region.

16. Must I enter a licence key for a Microsoft Store add-on?

No. Store add-ons use verified Store ownership. A website licence key does not unlock the Microsoft Store edition.

17. Which account should I use?

Use the Microsoft account that owns the Store app and add-on. If you have more than one Microsoft account, check which one is signed in to Microsoft Store. A website account with the same email address is still a separate purchasing system.

18. I paid, but the tool is still locked. Must I buy it again?

Do not purchase it again as a troubleshooting step. Check that the transaction completed, confirm the Store account, then choose Restore purchases in Extensions. Restart the app if it asks you to. If access is still missing, contact support with your order reference and the exact message.

19. What does Restore purchases do?

It refreshes the app's view of purchases associated with your Store account. It does not move purchases between Stores, activate website purchases, start a new trial, or download your personal documents.

20. Can I restore on another computer or after reinstalling?

Install the same Store edition, sign in to the purchasing account and choose Restore purchases. Access remains subject to the Store's applicable account and device rules. Do not assume that an individual purchase provides organization-wide deployment rights.

21. Can I share one purchase with colleagues or family?

Do not assume that one purchase licenses other users. Sharing and deployment depend on the Store's terms and the applicable licence. Organizations should confirm their requirements before purchasing for multiple people.

22. Does a website purchase unlock the Microsoft Store app?

No. Website/direct desktop purchases and Microsoft Store purchases are separate. Use the edition associated with your purchase.

23. Does a Microsoft purchase unlock the Mac App Store, iPhone, iPad or Android app?

No cross-Store or mobile entitlement transfer is implemented in this desktop add-on system. Do not assume that matching product names grant access on another platform.

24. Where can I find my receipt or invoice?

For Microsoft Store purchases, check your Microsoft account's order history using the purchasing account. Microsoft explains how to view orders and print invoices in its order-history guide.

25. How do I request a refund or report an incorrect charge?

Use Microsoft support for a Microsoft Store transaction. Eligibility depends on the applicable offer and law; a refund is not guaranteed. Follow Microsoft's app refund guidance. Website purchases use the website's support and purchase terms.

Three-day add-on trials

26. How do I start a trial?

Own the full base app, connect to the Store, open Settings → Extensions and choose Start 3-day free trial for an eligible add-on. Complete the free Store acquisition. Opening the catalogue by itself does not start the trial.

27. How long is the trial?

It lasts 72 consecutive hours from the original Store acquisition of that add-on's free trial product. It is elapsed time, not three days of active use.

28. Does closing the app pause the trial?

No. Time continues while the app is closed, the computer is asleep or the device is offline.

29. Does every add-on have its own trial?

Yes, each of the six configured add-ons has a separate trial product. Starting one does not start the others. Availability depends on whether its trial product is published and available to your Store account.

30. Is the add-on trial the same as the base app trial?

No. Base app evaluation and add-on evaluation are separate. The add-on trial does not extend the base app trial. The current release requires full base app ownership before evaluating an add-on.

31. Will I be charged when the trial ends?

No. It ends automatically without an automatic charge. To continue using the add-on, purchase the paid add-on separately.

32. Must I cancel the trial?

No cancellation is required to prevent an automatic charge. You can simply stop using it. The separate purchase button is available if you decide to buy.

33. Can I purchase while the trial is active?

Yes. Use Buy extension for that add-on. Once the Store confirms the purchase, paid ownership replaces trial-only access.

34. What happens to my files when the trial expires?

The add-on's protected processing or export actions may no longer be available. Files you already exported remain normal files in the location you saved them. Trial expiry does not convert those files into a subscription or automatically charge you.

35. Does reinstalling or restoring purchases restart the trial?

No. The app uses the original Store acquisition date. Reinstalling, restoring or moving to another computer does not create another trial for the same add-on and Store account.

36. Why does Store history still show that I own the free trial item?

The free acquisition is a lasting record of when your trial began. That record is separate from the app's 72-hour access limit. Owning the free trial item does not mean owning the paid add-on permanently.

37. Why is there no Start trial button?

Possible reasons include: the full base app is not owned, the trial was already used, the paid add-on is already owned, the Store cannot verify eligibility, or the trial product is unavailable. Update the app, check the purchasing account and connect to the Store before retrying.

38. Can I use the whole trial without internet access?

Do not rely on that. Document processing runs locally, but trial access requires current Store verification. If the Store cannot verify the trial, access can be unavailable even before its 72-hour deadline.

39. Can I change the computer clock to extend a trial?

No. The app checks time against verified purchase information and previously observed time. An incorrect clock can prevent verification. Use the correct date, time and time zone, then reconnect and restore purchases.

40. What if the Store tries to charge for a “free” trial?

Cancel that purchase window and contact support with the item name, displayed amount, region and a screenshot with personal details hidden. A 3-day free trial should not require paying for that trial product. Buying the full add-on is a separate action.

Privacy, connectivity and local storage

41. Are my PDFs uploaded for OCR, redaction or extraction?

These add-ons process document content locally on your computer. Store checkout and licence verification are separate online services; local document processing does not mean the app never communicates with a Store.

42. Does “private” mean no internet connection is ever needed?

No. Purchases, trial verification, restoring ownership, updates and some support actions can require connectivity. Local processing avoids sending the document to a cloud conversion service.

43. Can a purchased add-on work offline?

Processing is local, but access depends on the native Store being able to verify the base app and add-on licence. Cached Store ownership may help in some circumstances. This release does not promise unlimited offline licence access; reconnect and restore if verification is unavailable.

44. Can I use files in OneDrive, a network share or another synced folder?

Make sure the files are fully downloaded and accessible. For processing problems, copy a sample to a local folder first. Your chosen cloud or synchronization service may upload files independently of PDF Pro Panel 3.

45. Can batch history contain private data?

Yes. Working data, recognized text, previews, file names and review results can contain sensitive information. Treat the computer and the app's working data as part of your document storage. Use the tool's history or private job data removal controls when appropriate.

46. Does removing private job data delete exported files?

Do not treat job cleanup as a way to erase every copy. Exported documents are separate files in the location you selected and should be managed there. Keep any outputs you need before removing working data.

47. Does clearing history securely erase my disk?

No secure-erasure guarantee is made. History cleanup is not a substitute for your organization's storage, retention and device disposal procedures.

48. Can I send a problematic document to support?

Start with the error message and a small, non-sensitive sample that reproduces the issue. Hide personal details in screenshots. Review logs before sending them. Do not send passwords, full payment details or confidential client documents in an initial support request.

Questions about individual tools

49. Which OCR languages and exports are supported?

The current OCR add-on offers English, French and Spanish. Its Auto Batch controls offer searchable PDF, Word, Excel, Rich Text and EPUB exports. Select at least one language and one output format. Use the options displayed by your installed version.

50. Will OCR reproduce a document perfectly?

No. Small print, poor scans, handwriting, complex tables, rotation and unusual layouts can reduce accuracy. Editable exports can reflow text rather than reproduce every page exactly. Review names, dates, amounts and important formatting before using the output.

51. Why is a searchable PDF not the same as an editable Word file?

A searchable PDF can retain the page image with a recognized text layer. Word and Rich Text exports reconstruct editable content and may change layout. Choose the output based on whether you need visual fidelity, text search or editing.

52. Why did OCR omit or reject some characters?

The scan may not have been recognized correctly, or the export may not support a character. This release can report unsupported characters explicitly. Check the selected language and review the affected text rather than accepting a damaged export.

53. Does Commercial Redaction automatically find every sensitive item?

No. OCR and presets produce suggestions that need review. Check all pages and add manual areas where necessary. Verify the exported copy before distributing it; the tool does not certify a document's legal or regulatory compliance.

54. Why can I no longer search text after redaction or sanitization?

These workflows create image-only PDF output. Text selection and search can be lost. Document Sanitization also omits original attachments, scripts and form objects, and does not preserve accessibility tags or digital signatures. Keep a separate original if you need those features.

55. Does sanitization remove visible confidential information?

No. Sanitization removes original hidden document structures by creating image-only pages; visible information can still appear in those images. Use redaction for visible information you intend to remove, then check the final output.

56. Which forms work with Forms Automation?

Use an AcroForm PDF template and CSV records. Match CSV headers to the PDF field names or enter a mapping. The current limits are 25 MB per template, 2 MB per CSV and 1,000 records. XFA forms and signature fields are unsupported. Output is flattened, so filled values are not exported as interactive form fields.

57. Why are Data Extraction cells blank or incorrect?

The tool looks for the labelled fields you configure, such as invoice_number=Invoice Number. A label may be absent, ambiguous or misread. Missing or conflicting matches can remain blank. The tool does not infer unlabelled tables or financial totals. Review and correct values before export.

59. What are the limits for OCR, extraction and sanitization?

The current tool descriptions state 1,024 MB for an input and for the batch. This is a limit, not a guarantee that every document below it will process successfully. Page dimensions, image resolution, corruption, available memory and disk space also matter. Forms Automation and Legal Document Production have different limits described above.

60. Should I review results before using them?

Yes. Work within each tool's stated limits, retain originals and review the outputs. OCR, extraction and redaction suggestions can contain errors or omissions. Report reproducible problems to support; no tool certifies every result for every professional workflow.

Troubleshooting: purchases and access

IssueWhat to do
T01 — No Add-ons group or Extensions screenCheck the installed version. Update the same edition from its original source. An older build may not include the catalogue or trial support.
T02 — Catalogue says add-ons are coming soonConfirm you installed the intended edition and latest released update. Website and Store catalogues are separate. Contact support if the correct release still has no products.
T03 — Purchase cannot be opened or product is unavailableConfirm connectivity, Store sign-in and base app ownership. A product may not be published in your region yet. Record the exact Store message.
T04 — Purchase is pendingWait for the Store's payment or approval process to finish. Once confirmed, use Restore purchases. Do not repeat the order to force activation.
T05 — Payment completed, but the add-on is lockedConfirm the same Store account, use Restore purchases, then restart the app if requested. Check order history for completion and the exact product purchased.
T06 — Website receipt will not restore in the Store appUse the direct desktop edition associated with that receipt. Purchases do not transfer automatically between editions.
T07 — Restore purchases finds nothingConfirm the Store account and edition, reconnect, check order history and try again. Send support the order reference if it is completed but still missing.
T08 — Trial button is absentCheck full base ownership, whether that add-on is already owned or previously tried, and whether the Store can verify its free trial product.
T09 — Trial says ended immediatelyRestore the original trial record and check its acquisition date. Trials do not restart after reinstalling. Correct an inaccurate computer clock. If the original date is unexpected, contact support.
T10 — Trial is unavailable while offlineReconnect to the Store, open Extensions and Restore purchases. A trial needs current verification even though document processing is local.
T11 — “A Store action is still running”Let the current purchase, restore or trial operation finish. Avoid repeatedly pressing the button or opening overlapping Store windows. If it has failed, close the Store dialog and restart the app before retrying.
T12 — Free trial window shows a nonzero amountCancel. Confirm you chose Start 3-day free trial rather than Buy extension. Report the item, amount and region to support if it is the trial item.
T13 — Owned, but the tool will not openCheck the Module Manager for a disabled module, approval requirement or compatibility message. Follow that message and restart if requested. In Store editions, use Store updates rather than downloading module packages from another source.
T14 — Access disappeared after an account change or refundSign in to the original purchasing Store account and restore. A refunded or revoked purchase may no longer grant access. If the order remains valid, contact support with its reference.

Troubleshooting: documents and batches

IssueWhat to do
T15 — File will not open or is reported damagedOpen it in another trusted viewer to check whether it is readable. Try an unchanged local copy and one small file. If other files work, isolate the problematic document.
T16 — Password-protected input is rejectedUse a permitted, unlocked working copy through a supported tool, with authorization to access the document. Do not assume every batch tool can accept encrypted files directly.
T17 — Processing is slow or memory use is highUse a smaller batch and close other heavy applications. Work from a local drive with adequate free space. Large scanned pages can require much more working memory than the compressed file size suggests.
T18 — Batch stopped after a restartReopen the same tool and batch history. Use Process / resume where offered. Keep the original sources available in their original locations; if the app asks, select them again. Resume support varies by tool and job stage.
T19 — A finished OCR batch cannot be pausedA finished batch has no active processing to pause. Use the available review, export or new-batch controls.
T20 — OCR completed, but no document was savedReview and approve required pages, then use Export and save document or the available export action. Complete Save As. Cancelling Save As does not mean the output was saved.
T21 — Pages are in the wrong orderCheck the selected source order and file names. OCR Auto Batch uses name ordering that treats page2 before page10. Give source pages consistent names and confirm the order before processing.
T22 — OCR results are inaccurateSelect the correct supported languages, improve scan clarity and straighten pages. Test a small sample. Review and correct results; do not assume an OCR result is authoritative.
T23 — Redaction missed a name or numberInspect the page and add a manual area. Repeat review across the batch. Open the exported copy and check the intended content is no longer visible.
T24 — Filled forms are blankConfirm the template contains supported AcroForm fields. Check exact field names, CSV headers and mappings. Test one record before processing the full CSV.
T25 — Form input exceeds limits or uses XFA/signature fieldsUse a supported AcroForm template and divide CSV records within the stated limits. Do not expect Forms Automation to populate signature fields or process XFA.
T26 — Bates workflow rejects rotated or cropped pagesCreate a normalized or raster-flattened working copy, then review its appearance before using it as input. Such conversion can change text, forms or signatures, so preserve the original.
T27 — Extracted totals or table columns are missingConfigure the actual printed field labels. Data Extraction does not infer arbitrary tables, calculate financial totals or guess missing values. Review, correct and approve values before exporting CSV.
T28 — Sanitized file lost text search or signaturesThat is expected for image-only sanitization output. Use the original when you require searchable text, accessibility tags, interactive forms or existing digital signatures.
T29 — Cannot export, save, or overwrite a fileConfirm active access to the add-on, completed review, available disk space and write permission. Try a new filename in a local folder. Close another application that may hold the destination file open.
T30 — Output looks different from the sourceCompare the intended output format: reflowed editable text and image-only PDFs have different trade-offs. Review a small export first, then adjust available settings or choose another format.

Updating and repairing the Windows app

Update before reinstalling

Save your work and close the app. Open Microsoft Store, check its Library or available updates and install the latest PDF Pro Panel 3 update. Reopen the app and restore purchases if access needs refreshing. Store add-on code arrives through Store app updates. Microsoft provides Store app troubleshooting steps.

App does not launch or repeatedly closes

Restart the computer and install available Windows and Store updates. If the problem continues, use Settings → Apps → Installed apps → PDF Pro Panel 3 → Advanced options → Repair, if that option is available. Microsoft notes that repair options vary by app. See Repair apps and programs.

Before Reset, uninstalling or removing private job data

Keep your source documents and exported results in a backed-up location outside the app's private working data. Preserve any review work or batch information you still need. Reset or reinstall can remove local app state; restoring purchases restores ownership, not unsaved documents or batch history. Use these actions after simpler checks, not as the first response to a missing purchase.

The new version is not available yet

A submitted update is not necessarily released. Store certification and distribution must complete before the update can be installed. Check the version actually installed rather than relying on a downloaded ZIP's name. Continue using the current released version while checking the Store for the update.

Other desktop editions

Does the direct desktop edition use the same checkout?

No. The direct edition uses the website's account and licensing system. The Store edition uses its native Store. Purchase and restore through the same channel as the installed app.

Does the website offer yearly add-ons or an all-add-ons bundle?

Direct-edition offers can include one-time purchases, yearly subscriptions and an all-add-ons bundle. Only offers actually published and displayed at checkout should be treated as available. Do not assume a website bundle or subscription is included in a Microsoft Store purchase.

Does every yearly offer cancel automatically after one year?

No. Where a direct-edition yearly subscription is offered, it renews automatically under its checkout terms. Manage cancellation through the website. This differs from the Microsoft Store add-ons configured as one-time purchases and from the free 72-hour trials, which do not charge automatically.

Does the direct edition need a separate add-on installation?

It can download and install separately signed add-on packages after ownership verification. Follow the app's installation, permission and restart prompts. Store editions receive their bundled add-on code through Store app updates instead.

Can I manually copy a module from the direct app into the Store app?

That is not a supported installation or activation method. Use the purchase and update process for the installed edition.

Are the same add-ons available in the Mac App Store edition?

Product catalogues can differ between editions. Check the published Mac listing and the catalogue in your installed app. Microsoft Store ownership does not unlock a Mac product; do not purchase for one platform expecting it to activate another.

How are supported Apple purchases restored?

In an edition that offers the product, use the app's Restore purchases option while signed in to the same Apple Account used to buy it. Apple also recommends checking purchase restrictions and restarting the device when restore fails. See Apple's purchase restoration guidance.

Is “offline” licensing identical across all editions?

No. Website licences use their own verification and device rules; native Store licences follow their Store implementation. Avoid promising a single offline grace period for every edition. Document processing remains local, while purchase and access checks are separate.
